Proposal for Product Sales and Professional Services <br />Govern Software and outline for City staff what new reports need to be created <br />for this phase for use with the City's complaints, offenses and licensing processes. <br />4. Documentation Preparation, Dissemination and Review*. GeoAnalytics will amend <br />the Phase 1 document to include all discussions and analysis from Phase 2. City <br />staff will review these requirements for final verification prior to the beginning of <br />the next task involving the Building of an Application Prototype for complaints, <br />offenses, and licensing. <br />ii) Estimated Time Line - Two Weeks <br />b) Task 2: System Design <br />As in Phase 1, Task 2, GeoAnalytics will briefly perform conceptual, logical and physical design for <br />both the database model that Govern Software sits upon and the application itself concerning <br />complaints, licenses, offenses and hearings. The primary objective of this task is to expand the <br />Govern Software application to contain these functions. <br />i) Activities <br />1. Database Design. GeoAnalytics will analyze what additions and/or modifications <br />are necessary to Govern Sofhvare's database model to accommodate the needs <br />expressed by the City. Once defined, the database will be modified via Govern <br />Software's administrative module. These changes will take place in an Access <br />database and will later be uploaded to Oracle on the City's server. <br />2. Application Design. GeoAnalytics will design the complaints, offenses, licenses <br />and hearings and their respective activities as detailed in the requirements activity <br />in the first task of this phase. It is anticipated that this information will require <br />minor modifications and enhancements once implementation has begun and <br />training is completed. <br />3. Application Enhancement . With application design completed. GeoAnalytics will <br />input the work flow processes into Govern Software, modify the forms and menus <br />to meet application design specifications, prepare for appending these changes to <br />the existing database and user training. <br />ii) Estimated Time Line - Two Weeks <br />c) Task 3: Data Conversion,. Update Installation and Training <br />Upon completion of the application and database enhancements to accommodate complaints, <br />offenses, licenses and hearings, this information will need to be uploaded to the working copy of <br />Govern Sioftwarc. The primary objectives of this phase will be to integrate the new functionality into <br />the working copy of Govern ^ftware, upload legacy data, implement new reporting options and <br />train users on the new functionality. <br />i) Activities <br />1) Data Conversion from LOGIS. The Needs Assessment and Requirements <br />Analysb task from Phase Two will result in an assessment of the legacy data <br />within LOGIS and a data conversion plan highlighting how that data will be <br />uploaded into Govern Softivare. As in Phase One, GeoAnalytics will provide the <br />City with a Microsoft Access database design to aid in the data conversion. The <br />Page 9
