Proposals Exceprt of Desired Proposal <br />C. Naab Memo Dated 1/4/90 <br />D. Mabusth Memo Dated 1/4/90 <br />ISSUE - <br />1. Determination as to whether a new system should be acquired. <br />2. Determination as to whether the system should be undertaken <br />and if so, to whom it is awarded. <br />INTRODUCTION - Because of the City's limited and problematic <br />telephone system particularly noted over the last year the City <br />Council authorized at its May 22, 1989 meeting that the staff <br />solicite proposals for a telephone system. At the time it was <br />estimated that a new system would cost approximately $10,000. As <br />you will note the proposals received are about the expected cost. <br />Funding for that will come from the City's equipment outlay fund. <br />As you will note in Attachment A, Teri Naab the City's Deputy <br />Clerk, who was involved in the proposal process has charted the <br />significant items related to it and contacted current users of <br />those systems. <br />DISCUSSION - The City received the requests forproposal in <br />December^ Following an analysis of the proposals Teri Naab and <br />Jeanne Mabusth visisted phone installations of the three lowest <br />(Attachment C and D.) Based on that they requested an upgrade of <br />selected instruments of about $1,500 to make a substantial more <br />usable system. <br />The proposed configuration is for 6 trunks (currently City <br />Hall/Public Works has 4) and 18 phone extensions. A move to a <br />new facility could require an additional 10-12 phones for the <br />police for a total of 30 phone extensions using 8-10 trunks. <br />Each system can handle at least double those requirements. The <br />City's growth over 10 years should not exceed that capacity. In <br />addition the City looked at the cost of moving the system which <br />ranges from $l,500-$3,300 depending on the system plus the <br />expansion of system and phones to accomodate the police <br />department as noted on Attachment A.
