Copier ReplacenKnt <br />4.18-96 <br />Page 3 <br />There are a number of benefits to keeping the Savin 7500 aside from the obvious cost factor: <br />- If placed in the Public Works building, would provide that department with <br />convenient access to copier, perhaps significant in light of the recently established <br />Public Works information management system. Also would serve as a full-capability <br />emergency backup to the primary copier in the Administrative office should the need <br />arise. <br />- If relocated somewhere within the Administrative office, would provide the same <br />emergency backup function and further provide a convenient, full-capability, <br />secondary copy source during times w hen it is not appropriate to interrupt a job in <br />progress on the primary copier. <br />New Copier Selection • Recommendation for Purchase; Minolta feOOO <br />During the last two weeks Jamie Bosma (who is responsible for copying agenda packets and is the <br />primary user of the copier) and I have "test driven" most of the copiers under consideration. Factors <br />other than price which entered into our recommendation include: <br />- First copy speed, copies-per-minute capability <br />- Paper supply configuration and accessibility <br />- Console size to fit available space <br />- Intuitive operating controls <br />- Capacity to interrupt/discontinue a sort job and return to it later <br />- Functionality of integral stapling unit <br />- Ease of toner replacement <br />- Access for user maintenance, clearing jams, etc. <br />- E.xpected productivity related to processing technology (for instance, how quickly and <br />efficiently certain types of common copying tasks/jobs can be accomplished) <br />We concluded that the Minolta 6(X)0 supplied by CDP offers the best combination of value and <br />operating features for the City's needs. Further, the maintenance package offered by CDP appears <br />to be an excellent value to the City. <br />I would recommend that the City purchase the Minolta 6000 copier from CDP at the quoted price <br />of SI5.254 (plus tax), and enter into a long term package maintenance agreement with CDP per their <br />quote (see attachments ). <br />COUNCIL ACTION REQUESTED: <br />Motion to approve the purchase of the Minolta 6CKX) copier from CDP at a cost of $15,254 (plus tax) <br />and to enter into a long-term package maintenance agreement with CDP. <br />mm
