CommunicatiQns Activities: <br />The Management Analyst/Accountant is routinely involved in intra and interdepartmental <br />communications, as well as communications with the public and other organizations. Ot <br />particular importance is the position's liaison function between the assigned department, the City <br />Administrator, and the finance department. Duties related to communications include using <br />written and verbal communications skills. <br />Typical supporting skills and activities include: <br />1 . Receive and route calls and visitors. <br />e.g. Take calls and messages in person or on a multi-line telephone system, transfer <br />and/or distribute them. Screen calls, refer them to proper personnel, and if necessary page <br />individuals via a radio paging system. <br />2. Providing information, e.xplanation and assistance to the public and others. <br />e.g. Answer routine questions regarding hours, locations, costs, etc. and e.xplain <br />appropriate city services and programs, ordinances and appropriate laws. Assist people with <br />forms and applications and release infonnation consistent with applicable laws/policies. Convey <br />information to other parties per instruction or as necessary. <br />3. Resolve complaints/problems <br />e.g. Resolve routine and complex problems and complaints by obtaining information <br />and/or referring complaints/problems to appropriate personnel, investigating the nature of the <br />complaint/problem, and following up on previously received complaints/problems. <br />4. Compose, edit and proofread written comnjunications <br />e.g. Write routine internal and external correspondence/reports and proofread documents, <br />draft resolutions, draft complex professional documentation, and complete forms, surveys, and <br />applications using various complex features of computer program applications. <br />5. Deliver presentations to managers, directors, or other internal groups, <br />e.g. Requests for policy amendments, etc. <br />6. Operate a photocopy machine <br />7. Process incoming and outgoing mail. <br />e.g. Pick up, sort and deliver mail internally. Weigh mail, affix postage, coordinate bulk <br />mailings and arrange for mailing.
