AGENDA ITEM

Prepared By: Reviewed By: AMC Approved By:

1. Purpose. The purpose of this action item is to get formal council approval of Change Order 1 to the
Public Works Facility Construction contract.

2. Background. On October 10th, 2022 Council awarded the contract to build the new public works
facility. Construction is under way. To date there have been a several necessary changes to the project
which involve increased costs.

3. Change summary. A listing of justifications form the Architect and Civil Engineer are at Exhibit A.
Item Cost
PR#02 – Structural Steel Changes $ 7,718.17
PR#03 – Electrical Masonry Chase & Electrical $ 17,570.81
PR#04 – Flammable Waste Trap $ 24,325.83
PR#05 – Force Main $ 5,419.68
PR#08 – Settlement Plates $ 7,578.88
PR#09 – Stormwater Changes $ 3,465.28
PR#11 – Drainage Pond Revisions $ 11,876.48
GC#01 – Overhead Stops $ 618.00
GC#02 – Northwest Parking Lot Soil Corrections $ 3,666.00
GC#03 – East Parking Lot Soil Corrections $ 26,564.00
GC#04 – Water Main Excavation $ 5,560.00
GC#05 – Lift Station Access Cover $ 2,939.00
RFI #01 – Additional Stair Flat Plate $ 2,300.00
RFI #28 – Vulcraft Joist Changes $ 14,656.50
PR#10 – Storage Bins $ 19,577.60
TOTAL $153,836.23

4. Proposed Offset. To offset the cost of the changes we will remove the backup Generator from the
contract. The generator list price in the contract is $499,000. The removal of the generator from the
contract has some additional cost savings benefits. First, the original generator was speced for natural gas
however CenterPoint energy recently changes its fees and its installation would have cost an additional
$50,000 as well as a $15,000+ per year fees. We will change the generator to diesel and if ordered, after
the building is complete the sizing requirements are different so a smaller generator will likely suffice.

5. Funding. The original contract sum was $16,067,000. Change Order 1 amounts to $153,836.23.
However, the proposed offset will more than cover the change order so the overall cost to the contract is
expected to remain at or below $16,067,000.

6. Staff Recommendation. I recommend approval of the change order 1 and removal of the generator
form the contract to offset the additional costs.

COUNCIL ACTION REQUESTED
Move to approve change order #1.

Exhibits
A.
