<br /> <br /> <br />93 <br />221698v1 <br /> <br />Tuition Reimbursement Policy <br /> <br /> <br />Purpose. The purpose of this plan is to provide guidance in the administration and <br />participation of the tuition reimbursement program for City of Orono Staff members. <br /> <br />Definitions: <br /> <br />• Tuition Reimbursement Form – The document completed by an employee <br />requesting tuition reimbursement as approved by the City Administrator. <br /> <br />• Tuition Cost – The amount of money charged by an institution for participation in <br />class(es) including all fees, service charges, textbooks and other expenses. <br /> <br />• Educational Planning Statement – A statement of the employee’s educational <br />goals, how those goals will benefit the City of Orono in fulfilling its mission, the <br />courses the employee is going to take to achieve those goals, the approximate tuition <br />cost the for which the employee is seeking reimbursement and the time frame the <br />officer intends to use to complete the educational goals. <br /> <br />• Reimbursable Amount – The amount of tuition cost that will be reimbursed to an <br />employee. May include all or only a portion of the tuition cost based on available <br />funds and must be approved by the City Administrator. <br /> <br />Procedure. All tuition reimbursement will be incumbent upon the amount of money <br />available to the City of Orono at the time application is made. Monies for reimbursement <br />can come from a combination of several sources such as private donations, grants and <br />available training money. <br /> <br />• The employee will be responsible for filling out the Tuition Reimbursement <br />Application Form, completing an Educational Planning Statement and turning it in to <br />their Department Head. After review, the Department Head shall forward the <br />application and statement to the City Administrator with a written recommendation. <br />The Department Head shall forward this information to the City Administrator no <br />later than seven days after receipt. Improper or inadequate applications and/or <br />statements shall be returned to the employee. <br /> <br />• Upon receipt of the Tuition Reimbursement Application Form and the Educational <br />Planning Statement, the City Administrator shall approve or disapprove the <br />application on a case by case basis based upon whether or not the employee’s request <br />is consistent with the mission and goals of the City of Orono and whether or not <br />there are adequate funds available to meet the employee’s reimbursement request. <br />The City Administrator shall notify the employee on the outcome. <br />
