• Types reports, forms, invoices, specifications, tabulations, legal documents, resolutions,
<br />and other materials; composes and types routine correspondence
<br />• Acts as secretary for one or more boards/commissions/or committees, typing and
<br />distributing agenda, and forwarding copies of pertinent documents to
<br />board/commission/or committee members.
<br />• Enters and retrieves data and maintains computer files pertaining to costs, revenue,
<br />purchases, deposits, bonds, escrows, fees, charges, permits, licenses, inventory, statistics,
<br />property, personnel, payroll and other records.
<br />• Compiles and summarizes data, checking against records to ensure completeness and
<br />accuracy.
<br />• Reviews applications, requisitions, invoices, vouchers and other forms for completeness
<br />and accuracy; prepares billings; balances cash receipts, deposits and daily reports; and
<br />maintains control ledgers and cost accounts.
<br />• Answers the telephone and greats visitors, takes detailed messages, provides routine
<br />information or directs callers and visitors to the appropriate authority.
<br />• Maintains a complex filing system, including creating files, and filing and retrieving
<br />documents.
<br />• Responds to individuals seeking information, takes detailed messages, and complaints or
<br />record information and forwards to the appropriate personnel, receives applications,
<br />obtains required data, and makes necessary determinations and calculations; answers
<br />question and explains procedures regarding permits, certificates, licenses, warrants, taxes,
<br />interest, assessments, penalties, billings, and other matters requiring knowledge of city
<br />ordinances, departmental policies and regulations; assists in completing forms,
<br />applications, permits and licenses, and arranges appointments.
<br />• Support payroll, utility billing and human resources processes and procedures
<br />• Assist in coordinating city programs such as recycling and organics.
<br />• Opens, sorts, distributes incoming mail. Routes mail to the appropriate personnel.
<br />• Assists in the response to data requests as required under MN Data Practice regulations.
<br />• Maintain records according to the MN Records Retention schedule and the City's
<br />adopted policies.
<br />• Maintains regular job attendance in accordance with a schedule established for the
<br />position by the supervisor.
<br />• Performs other related duties as assigned or as the situation dictates within the scope of
<br />this position.
<br />• Provide and facilitate exceptional customer service through caring, helpful, and
<br />professional contacts (in person, phone, e-mail, and in writing).
<br />Required Knowledge, Skills and Abilities
<br />Knowledge:
<br />• Clerical Knowledge of administrative and clerical procedures and systems such as
<br />word processing, managing files and records, stenography and transcription, designing
<br />forms, and other office procedures and terminology.
<br />• English Language Knowledge of the structure and content of the English language
<br />including the meaning and spelling of words, rules of composition, and grammar.
<br />• Customer and Personal Service Knowledge of principles and processes for providing
<br />customer and personal services. This includes customer needs assessment, meeting
<br />quality standards for services, and evaluation of customer satisfaction.
