TO:
PROM:
DATE:
Mayor and City Council
Ron Moorse, City Administrator
June 4, 1992
/iV 3 •Q
SUBJECT: Award of Bids for Equipment for the New Public Works
Faci1ity
The original budget for equipment for the new public works
facility was $175,000. This amount was reduced to $128,500 to
balance the facilities budget. The original equipment budget
included four main packages.
1. Vehicle lifts
2. Service equipment
3. fuel distribution system
4. Overhead cranes
Cost Estimate
32,273
33,605
71,342
37,700
Due to the reduction in the equipment budget it was determined
that those items that need to be installed as p3i.t of tne
construction project should be the highest priority. This made
the overhead cranes the lowest priority. The bid tabulations for
the remaining three packages is attached. The highest priority
in terms of bid awards is the vehicle lift package since a delay
in awarding this package could result in a delay in pouring the
slab i.. the public works building. It is recommended that the
vehicle lift package be awarded at this time. It is also
recommended that the award of the fuel distribution system
package bid be delayed to provide an opportunity for further
research into an above ground fuel storage and distribution
system.
If the total service equipment package is awarded along with the
vehicle lift package the cost will exceed the budget by
approximately $3,725 assuming the fuel distribution system will
cost $70,000. Two alternatives available concerning the service
equipment package are to award the total package and reduce
another area of the facilities budget, such as contingency, or to
determine if there is $3,725 that can be trimmed from the service
equipment package without causing significantly higher
installation costs in the future. A listing of the items
included in the service equipment package and the initial cost
estimates is attached.
Council Action Requested:
1, Motion to award the vehicle hoist bid to Pump and Meter in the
low bid amount of $30,513.
2. Motion to awutd the service equipment bid to Zahl in the low
bid amount of $31,712.
