Item No.: 4 Date: January 22, 2024 <br />Presenter: James Van Eyll <br />Presenter: Fire Chief <br />Section:Consent Agenda <br /> <br /> <br />Title: Authorization to enter into a contracts with Vector Solutions, First Due and <br />First Arriving <br /> <br />1.Purpose: <br />The council should review and authorize the three software programs identified for the Orono Fire <br />Department. <br />2.Background: <br />Council gave staff direction to complete a Needs Assessment for the City of Orono. Based on the <br />Needs Assessment, staff has identified the following software to be used by the Orono Fire <br />Department that fits best practices and helps the department become more efficient. <br /> <br />1. Vector Solutions is an online platform that is sanctioned by the Minnesota Board of <br />Firefighter Training and Education that offers two programs. One for online training called <br />Target Solutions and another program for assessment management call Check it. We would <br />utilize Target Solutions to deliver online firefighter training and education to our <br />firefighters. We would utilize Check It for our asset management software and all of our <br />recommended apparatus, tool, SCBA and turnout gear checks by NFPA. <br />2. First Due is an online platform that can be used for Occupancy Management & Pre-Incident <br />Planning, showing who is responding to the call for service, fire inspections and community <br />connect. We would utilize this software to do all of our fire and medical pre-planning, our <br />fire inspections and community risk reduction and online platform for our community <br />members to input any information that they would want the fire department to know into <br />their addressed location. <br />3. First Arriving is digital dashboard for the above software and many others. It takes all of <br />information from the different platforms and displays it on monitors throughout our <br />facilities. We would utilize this to display information about the emergency call that just <br />came in, weather reports, schedule for the day or week and many other items. <br /> <br />3.Cost: <br />1. Vector Solutions' two components of Check It and Target Solutions annually is $4,510 and <br />there is a one time set up charge for both of $1,600 total. <br />2. First Due modules annually are $5,500 for all four with a one time set up charge of $750. <br />3. First Arriving annually is $3,445 annually for 5 display locations along with an initial set-up <br />fee of $995. <br />4.Funding: <br />All funding for request was budgeted for in our department operating budget, which was approved <br />in December. <br />5.Staff Recommendation: <br />AGENDA ITEM <br /> <br /> <br /> <br /> <br /> <br />22
