f:
i
COUMaiMSIM
REQUEST FOR COUNCIL ACTION NOV ? 8 1^94
DATEffl3CAfbBR0MS94
ITEM NO: / /
Department Approval:
Name Ron Moone
Title City Administrator
Administrator Reviewed:
iA
Agenda Section:
City Administraton
Report
Item Description:
Purchase and Instailation of Faciiities Items
In a memo to the Council dated October 19. 1994 (attached) Council was advised
regarding several facilities items recommended to be addressed before winter. These included
an air exchanger in the Council Chambers, heat tape on the gutters above the public works
entry, a light standard in the police parking lot and plug-ins for the police squads.
Cnuncil Chambers
The architect ’s engineer, after reviewing the building plans, determined that the existing
equipment may not be providing the amount and type of air flow they were planned to provide.
He suggested an air flow balancing contractor be directed to measure the current level of air
flow and try to re-balance the air flow to match the building plans. This could potemially solve
a large part of the problem. If this is not successful, we will proceed with the air exchange
option.
nthgr Item*
Suff has contacted vendon regarding the beat tape, plug-im and light sundard. Although one
vendor has be will provide a price quote for these items in time for the NovembCT 28ih
Council meeting, suff will not have price quotes from the other vendon in time for the meeting.
The price quote to be received on Monday should tell us whether the initial cost estimates were
accurate. If it appean the cost estimates are accurate, suff requests that the Council authorize
moving ahead with the three items after receipt of all price quotes, using the lowest cost
qualified vendor. It is importam to move ahead with these items as soon as possible rather than
waiting for the December 12 Council meeting. The cost estimates are as follows:
1 Plug-ins for police squads
Light sundard in police parking Itn
Heat tape for public works entry
Toul
COUNCIL ACTION REQUESTED:
SIJ
SI.500.00
SI.000.00
$3.5
Motion to authorize suff to select the lowest cost qualified vendor for the purchase and
installation of a police parking lot light standard, plug-ins for police squads and h^ tape for the
public works entry at an estimated cost $3,500.00, to be funded from the buildup fund.
