TO:Ron Moorse, City Administrator <br />FROM: <br />DATE: <br />Carole Haseman, Deputy Clerk <br />October?, 1999 <br />SUBJECT: Govern Software System - Land Management <br />The following are comments received from various staff people within the Building & Zoning <br />Department regarding the Govern software program: <br />Mike Gaffron, <br />Sr. Planning <br />Coordinator <br />Lyle Oman, <br />Building Official <br />Benefits of Govern <br />Comprehensive property records management <br />• Ability to store all information about a property in one <br />location, ease of retrieval <br />Eliminates changing many records, can do all at once <br />Search and analysis capability <br />GIS capability lets us link property data to mapping <br />Provides better information to public with less staff time <br />spent researching <br />• Image and data storage <br />- Permit system that will reduce errors as well as make permit <br />scheduling, record keeping, and reports more efficient <br />- Ability to easily customize to our needs <br />- Automatic tickler system. <br />What 1 like about Govern <br />To be able to access all property information from my personal <br />computer to be able to answer questions about a property without <br />gathering information from various locations <br />To be able to schedule inspections from any personal computer and <br />to view inspection locations on a GIS map and to import or export to <br />a laptop <br />To be able to retrieve information and import and export information <br />to other formats for record keeping and reports <br />- The ease of customizing fields to suit our needs <br />- To be able to flag properties if fees are due or if some other problem <br />exists <br />- To be able to tie into the Internet to provide information to the public <br />and to receive information and applications. <br />Paul Weinberger, <br />Zoning Admimstrator <br />Having the Govern database v.ill allow departments to easily gain <br />property information in the office and in the field. Presently we are <br />using files that are only available in the office and only available to <br />one user at a time.
