Orono City Council <br />Work Session Minutes <br />Monday, June 22, 2020 <br />Council Chambers <br />5:00 p.m. <br /> <br />PRESENT: Mayor Dennis Walsh, Council Members Richard F. Crosby II, Victoria Seals, <br />Aaron Printup and Matt Johnson. Staff members present were City Administrator Dustin <br />Rief, Finance Director Ron Olson, and City Clerk Anna Carlson. <br /> <br /> <br />1. FLSA Audit <br />City Administrator Dustin Rief began discussion with a brief overview of the FLSA <br />Audit and findings. He noted that the city will research back two years in payroll to <br />determine the amounts for back pay for overtime needs. Rief also noted that the amount <br />anticipated for back pay is much less than the City had originally anticipated. <br /> <br />Council Member Aaron Printup mentioned that he thought staff should have looked <br />deeper into the issue prior to sending out an email before the weekend for Council to <br />mull over without a lot of explanation. <br /> <br />Mayor Walsh noted that it was likely better to overshoot the total cost than to <br />underestimate. <br /> <br />There was some discussion and questions about how the situation occurred. <br />Police Chief Correy Farniok explain possible scenarios for how the situation came <br />about. <br /> <br />Council Member Johnson mentioned that he did not feel there was much visibility <br />leading up to this and he questioned how the City’s communications process for things <br />like this work. He added that there is an opportunity to learn from this <br />miscommunication and the City could develop a process to improve it going forward. <br />Johnson asked if our new payroll system will help us with these challenging issues. He <br />also asked for an update about the new system. <br />Rief mentioned that we are working on it right now. <br />Finance Director Ron Olson mentioned that the City is live with the payroll aspect of the <br />new system, we are still currently implementing the time and attendance module. <br /> <br />Walsh mentioned that it would be nice to possibly get more details about these things in <br />the Management Team Notes. <br />Johnson added that he wanted to reiterate that staff should reevaluate their outcomes and <br />make changes as you go. <br />Council Member Victoria Seals mentioned when there is a big deal we need to know
