Memo <br />Serving the Communities of Orono, <br />Long Lake and Medina <br />With pride and professionalism <br />TO: Scott Johnson City Administrator of Medina and Dustin Rief City Administrator of Orono <br />From: Fire Chief James Van Eyll <br />cc: Scott Weske, City Administrator of Long Lake <br />Data 08/15/2019 <br />Re: Purchase of new door access system <br />The Long Lake Fire Department has a door code access system at each fire station. They are stand- <br />alone systems without cloud access. Over this past year, the system at Station 2 wouldn't allow us to <br />input new codes. We reviewed the options for fixing the stand-alone system at Station 2 and also <br />upgrading the system. The system is 15 years old and then; are issues with obtaining parts and the <br />software is obsolete. A new system at just Station 2 was going to cost $3,285.59. The new system is <br />an updated keypad system to that building. It didn't have access to the cloud nor was it smart phone <br />enabled. The other issue is that a similar system is installed at Station 1 and it is only a matter of time <br />before this one has the same issue. A new similar system at Station 1 was going to cost $4,655.41. We <br />also researched the ability to control both buildings via cloud -based access with the ability to utilize key <br />FOBs and an app on a smart phone. This system has more functionality and can utilize the same wiring <br />to save on the cost of installation. The price for this system is $6,207.92. Please see attached quote. <br />We would prefer to install this yet this year and this item can be categorized as an "Unforecasted <br />Expenditure" per our contract. We will do what we can to keep our expenditures down for the remaining <br />months this year so as to not go over budget. Please add this to your next City Council Agendas for <br />approval.
